I. Introduction
This Refund & Cancellation Policy applies to all participants registered for the Pathfinders Global International Football Camp in Cologne, Germany. By submitting a registration form and making payment, participants and their parents/guardians agree to the terms outlined below.
II. General Policy Overview
Due to the international nature of the program and the advanced commitments required for accommodation, training facilities, logistics, and administration, all cancellations must be submitted in writing via email to pathfinderglobalgh@gmail.com
Refunds, where applicable, will be processed within 14–21 business days.
III. Standard Cancellation Policy
More than 60 days before departure
- Full refund of camp fees paid
- Less any non-refundable administrative or processing fees, if applicable
30–59 days before departure
- 50% refund of camp fees paid
- Flights, visa fees, insurance, and third-party costs are non-refundable
Less than 30 days before departure
No refund will be issued
This includes withdrawals due to personal reasons, injury, illness, or scheduling conflicts
IV. Visa Refusal Policy
We understand that visa outcomes are beyond the control of participants and organizers.
In the event of a Schengen Visa refusal by the German Embassy:
A refund of the camp fee will be issued minus an administrative and processing fee, provided that:
- An official visa refusal letter from the German Embassy is submitted, and
- The refusal documentation is received at least 14 days before the scheduled departure date
Please note:
- Embassy visa application fees are non-refundable
- Travel insurance premiums are non-refundable
- Any costs already incurred for third-party services (documentation, facilitation, or reservations) may be deducted from the refund
V. Flights & Airline Disruptions
In the event of a cancellation, it's essential to understand your options for receiving a refund or credit. Here, we outline the processes for obtaining refunds for flights, hotels, and package tours, as well as any applicable credits or vouchers that may be offered.
Pathfinders Global International Football Camp is not responsible for airline delays, cancellations, rescheduling, or missed connections caused by airlines or external factors.
Participants are strongly advised to purchase Travel Insurance with Trip Interruption and Cancellation Coverage.
Any compensation related to airline disruptions must be claimed directly from the airline or insurance provider.
VI. Program Changes or Cancellation by Organizers
In the unlikely event that the FC Köln Camp cancels the program due to circumstances beyond reasonable control (including but not limited to safety concerns, force majeure, or insufficient participation):
- Participants will receive a full refund of camp fees paid, excluding non-recoverable third-party costs
- No additional compensation will be provided beyond the refunded amount
VII. Substitutions & Deferrals
- Participant substitutions may be considered on a case-by-case basis, subject to visa and eligibility requirements.
- Deferral to a future camp session is not guaranteed and depends on availability and administrative approval.
VIII. Acceptance of Policy
By completing the registration process and submitting payment, participants and their parents/guardians confirm that they have read, understood, and agreed to this Refund & Cancellation Policy.
